GUIDELINES FOR ORAL PRESENTATION

Kindly be at the session room at least 10 minutes before the session starts to meet the chair, upload your presentation, and familiarize yourself with the technical equipment.

Each session room is equipped with a laptop with operating system Windows 10. Using your own laptop for presentation is not possible.

Please be prepared to speak for:
-15 minutes if your session contains 4 papers
-12 minutes if your session contains 5 papers

Presentation preparation
Format:
please use Microsoft PowerPoint 2013 (*.ppt/*pptx) or Adobe PDF to guarantee your presentation will open successfully on an on-site PC.
Fonts and colors: Only fonts which are included in the basic installation of MS-Windows 10 will be available. Use of other fonts not included in Windows can cause the wrong layout/style of your presentation.

GUIDELINES FOR POSTER SESSION

Please hang up your poster before the session starts. Double-faced adhesive tape will be
provided.

Each poster board will be identified by a poster number. Refer to the final program to confirm the number assigned to your poster presentation. The presenting author should be present during the session. You may have copies of abstracts available for distribution during the poster session if you want. Please remove your poster at the end of the session.

Poster panels measure 1meter wide x 2.20meter high: posters may be smaller, but not bigger than that. Posters made as mosaic of A4 or letter papers are discouraged.

Title
- Prepare a banner for the top of the poster indicating title, author(s) and affiliation(s).
Illustrations - Figures should be designed to be viewed from a distance, and should use clear, visible graphics. Each figure or table should have a heading in large typeface. Detailed information should be provided in a legend below in smaller typeface. The figure legend should describe concisely the content of the figure and the conclusions. Details of the methodology should be kept brief and should be placed at the end of the legend.
Layout - Avoid long textual passages and use graphs and diagrams as much as possible.

 

RULES FOR SESSION CHAIRS

The chair of a session is in charge of the good conduct of the particular session during the conference. The following rules of play are meant to help the chair in carrying out this responsibility, and to ensure that all sessions are run in a comparable manner.

1. It is advisable to inform authors of the session about its conduct (e.g. regarding the time available for presentations, the order of presentations, discussion etc.) well in advance. Please check the conference website for the latest schedule. Chairs are invited to contact the authors/presenters of contributions to the session at their earliest convenience, e.g. during registration or around the Coffee breaks, and to verify that the presenters are indeed present at the conference. We recommend keeping to the order of presentations as announced on the conference program.

2. Chairs invite all presenters to arrive in the room 10 minutes before the start of the session for last minute exchanges of information, and to get acquainted with the specific conference facilities in the room. Each session room is equipped with a projector and a laptop with operating system Windows 10.

3. Sessions should start and finish at the time indicated in the program. Note that waiting for a late presenter (or for more audience) is a waste of time! Also note that sessions which run late, create problems elsewhere in the program (also for the technical support staff).

4. Chairs may briefly (3 minutes maximum) introduce the topic of the session, but should refrain from extensive presentations. The chair should provide practical information regarding:
- the time available for the presentations
- the procedure for discussion.

5. The times allowed for presentations are:
- for sessions with 4 papers, 15 minutes per presentation
- for sessions with 5 papers, 12 minutes per presentation
Chairs should make sure that presenters keep to their allotted times.

6. Chairs must ensure that sufficient time for discussion from the floor is available. Note that sessions are not only for presenters, but also for the audience. A lack of time for discussion from the floor is impolite to the audience.

At the end of the session, the chair thanks all participants as well as the supporting technical staff.
